Job Description Responsibilities: Day to Day Operations Onsite point of contact for day-to-day office operations. Responds to Associate inquires and concerns and ensures timely and quality service delivery to Associates. Follows up with Associates to ensure customer satisfaction. Provide supervision to building contractors. Receive shipments into the Receiving for all departments. Maintain incoming shipment log for all deliveries. Deliver packages. Setup meeting rooms. (Training rooms, Client conference rooms) Backup support for AV Work with Security team for access badges for associates and visitors Supplies and Inventory Coordinates purchase of office supplies, copy paper, shipping supplies, and equipment and manages all related inventory for the building. Stock supplies in copy rooms and business centers. Maintain business centers (cleanliness & inventory) Facilities Support Assist with moves and make sure cube/office locations are ready for new hires. Assist with involuntary terminations by packing & shipping personal items Assist with the coordination of office moves, additions, and changes. Maintain and update electronic version of floor plan and office occupant list Liaison with landlord Other Duties Manage copiers (maintenance & new installs) Order weekly lunch for associates. Review and submit invoices to AP or pay via PCard Assist with other mailing and facilities related duties as needed. Assist with maintaining safety programs Assist with Front Desk coverage Assist with creating purchase orders needed for the building. Perform other duties and special projects when required.
Essential Functions of the Job Proficient in Microsoft Office programs such as Word, PowerPoint, Excel, and Outlook. Microsoft Visio knowledge a plus. Project management Working knowledge of HVAC, plumbing and electrical. The ability to follow directions from a Manager and perform tasks efficiently and accurately. The ability to interact effectively with co-workers. Ability to work independently and without constant direction. Ability to handle multiple projects and balance priorities.
Physical Requirements Verbal and written communication Ability to lift boxes, furniture and equipment up to 30 lbs.
Qualifications: Education or training equivalent to: High School diploma. Minimum years of additional related experience: 2-5 years office experience or equivalent work-related experience required.
Special Qualifications (Skills, Abilities and License): Knowledge of mail procedures and inventory methods. Knowledge Space Management Project Management Ability to fix minor issues with furniture, printers, etc.
